Campus Alberta Central (CAC) Coordinator, Ponoka
Part-time Position (21 hours per week) - Starting wage $25/hour
The Campus Alberta Central (CAC) organization (funded jointly by Olds College of Agriculture & Technology and Red Deer Polytechnic) exists to provide supportive, accessible, close-to-home post-secondary learning opportunities to rural learners throughout Central Alberta.

As our Ponoka CAC Coordinator, you will be the friendly face of our local Ponoka office,
attracting and meeting with potential post-secondary students and helping to support them in their learning journeys to come.

In short, our ideal candidate is:

Familiar with college and university applications/processes
-
Capable of delivering regular reports to our Board and CAC management
-
Very comfortable with advertising both in-person (at events, job fairs, etc.) and via social media (Meta, X, Tiktok, Wix, Canva), and able to maintain said social media platforms to provide our Adult Learning Centre with a consistent and welcoming online presence (familiarity with basic web design such as Wix and Canva an asset)

Familiar with the principles of adult learning and motivated to support students through potential challenges in their adult learning journeys

Skilled in time management, organization, and basic administrative work (e.g. managing room and appointment scheduling)

Above all, empathetic, inclusive, and supportive of both your learners and your fellow team members at the Adult Learning Centre as we work together to make futures in post-secondary education accessible for everyone.
Post-secondary experience is a definite asset.
Candidates must also be able to provide clean Criminal Record and Vulnerable Sector checks.

Our Ponoka CAC Coordinator's responsibilities include*:

1. Program Promotion
-
Ensure that all resource materials remain current.
-
Hold information and open house events.
-
Display CAC materials at community events.
-
Connect with local organizations regarding learning needs and build relationships with stakeholders.
-
Communicate information regarding local organizations' needs to the CAC Director and/or refer directly to college departments.
-
Arrange promotion of CAC programs through social media.
-
Work with CAC staff to prepare and implement a promotion plan for community-based programs being offered at the Centre.

2. Student Support
-
Provide information on programs and courses, and answer inquiries from all prospective and current students.
-
Assist learners with career and education planning.
-
Help learners find prerequisite courses.
-
Provide preliminary screening of all prospective students to direct them to the most relevant program, support or service and follow up with support as needed.

Assist students with application, registration and assessment.
-
Help students with information about financial aid, grants, and scholarships.
-
Refer to college departments or other agencies as needed.
-
Maintain student confidentiality.
-
Complete student information details in the CALP database.

3. Administration
-
Provide reports to the Post-secondary Committee, and support the Post-secondary Committee with meeting arrangements, meeting arrangements, etc.
-
Provide appropriate management of mail, courier services, files, correspondence, confidential documents and student information.
-
Record student inquiries for quarterly reports.
-
Ensure terms of partnership agreement with CAC have been followed, including financial, safety, and community needs reporting.

Arrange room bookings and building access.

4. Program Support
-
Ensure timely distribution of applicant admission and assessment information.
-
Manage a current schedule of all video-conference and online courses, including room assignment.
-
Liaise with CAC staff on matters pertaining to programs and students.
-
Maintain student records and program information with confidentiality and care, in accordance with federal, provincial, and organizational privacy regulations and laws.

Orient students and instructors to facilities and equipment, including general health and safety requirements for CAC programs taking place in the Ponoka Adult Learning Centre.

Maintain equipment and troubleshoot technical issues.
-
Administer CAC learner surveys and enter summary information into provided Google Forms.
-
Determine classroom setup to facilitate learning activities for CAC programs taking place in the Ponoka Adult Learning Centre.

5. Engaging with CAC
-
Work with CAC staff and communicate information about activities within the Centre.
-
Respond to requests from CAC staff or joint venture colleges regarding program support or promotion.
-
Inform CAC staff of community events and other items of interest in their area.
-
Attend CAC training sessions and meetings.
-
Ensure that all CAC-requested reports are submitted and the Operational Guidelines are followed.

*As the CAC Coordinator is a member of our Community Adult Learning Program (CALP) staff team, duties that are common to all CALP employees (such as participation in team meetings, providing updates on CAC programs, etc.) may be added by the employer in addition to the duties listed above.​
